Online Request for a Certified Copy of Document

Under the Registration of Persons Ordinance, an identity card holder can apply for a certified copy of document in his/her identity card records such as the application form. Registered user of “iAM Smart+” (For further details, please visit here) can access the online service by clicking the following link after reading the following instructions and having their applications ready.

How to submit online application?

For an applicant in Hong Kong

  1. submit the online application form;
  2. upload supporting document(s) if necessary.

For an applicant outside Hong Kong

  1. submit the online application form;
  2. upload the following required documents:
    • A copy of the applicant's Hong Kong identity card or travel document.
    • A notarised copy of the applicant's recent photograph and left or right thumb print, which has been properly authenticated by a notary public in the country where the applicant stays.
    • If the applicant authorises a representative to collect the certified copies, he/she should specify the name, Hong Kong identity card number, contact address and telephone number of that representative.
  3. upload other supporting document(s) if necessary.

Additional documents or information may also be required, if necessary.

Acceptable file formats of supporting documents are listed below:
       Image type : JPEG, PDF, GIF, PNG or TIF (RAW, LZW, JPEG, CCIT-G4)
       File size : 5Mbytes or below for each file

Application Fees

Under Schedule 2 to the Registration of Persons Regulations, Chapter 177A, Laws of Hong Kong, a fee of HK$425 is payable for a certified copy of document furnished under section 10 of the Registration of Persons Ordinance, Chapter 177, Laws of Hong Kong. Application fees can be paid online by credit card (Visa, Mastercard, JCB, UnionPay), Payment by Phone Service (PPS) or Faster Payment System (FPS).

Collection of Certified Copy of Document

Applications in Hong Kong
Applicants may collect the certified copy of document in person or authorise others to collect the certified copy of document on their behalf at the designated Registration of Persons Office.  Authorised representatives must have attained age 18 and should produce valid proof of identity, such as Hong Kong identity card and the applicant’s authorisation letter (if it was not provided in the application), upon collection.

Applications from Outside Hong Kong
Applicants may request for sending the certified copy of document to them by registered mail if payment for the certified copy of document has been made.  Besides, they may collect the certified copy of document in person or authorise others to collect the certified copy of document on their behalf at the designated Registration of Persons Office.  Authorised representatives must have attained age 18 and should produce valid proof of identity, such as Hong Kong identity card and the applicant’s authorisation letter (if it was not provided in the application), upon collection.
