Online Request for a Copy / Certified Copy of a Document

Using this online service, you may request for a copy/certified copy of the following types of document:

  1. In relation to visa / entry permit / extension of stay application
  2. In relation to Registration of Persons application
    [Copy of document only. A request for a certified copy of document in relation to Registration of Persons records may be made under section 10 of the Registration of Persons Ordinance, Chapter 177, Laws of Hong Kong, in the specified form ‘Request for a certified copy of document Form No. SF/ROP/164’; and a certified copy of records may be supplied and a fee may be collected in accordance with the Ordinance.]
  3. In relation to right of abode application
  4. In relation to travel document application
  5. In relation to Chinese nationality application
  6. In relation to birth and death registrations
  7. In relation to marriage registration
  8. Other application

How to Submit?

You need to complete the application form online and submit it together with the supporting documents (if any).

Before you start the online application, you need to scan the supporting documents required (if any) in the following file format:

       Image type : JPEG, PDF, GIF, PNG or TIF (RAW, LZW, JPEG, CCIT-G4)
       File size : 5Mbytes or below for each file

When the supporting documents are ready in the acceptable file format, you may proceed to the online application.  You may be required to provide additional information or documents to support your application.

A request for a certified copy of document in relation to Registration of Persons records may be made under section 10 of the Registration of Persons Ordinance, Chapter 177, Laws of Hong Kong, in the specified form ‘Request for a certified copy of document Form No. SF/ROP/164’, or click here; and a certified copy of records may be supplied and a fee may be collected in accordance with the Ordinance.

Fees

In accordance with Accounting Circular No. 2/2022, a fee of $1.4 per page is payable for photocopying.

Under the Public Finance Ordinance (Chapter 2), Laws of Hong Kong, a fee of $160 is payable for the certification of a true extract, on application, of any document.

You will be advised of such charge before collection of the requested documents.

Payment Method

Upon receipt of the notification from the Immigration Department, you can make payment using crossed cheque or cashier order payable to “The Government of the Hong Kong Special Administrative Region” through sending by post.  Cash should not be sent through post and post dated cheque will not normally be accepted.

Upon receipt of the notification from the Immigration Department, you can also access the online payment service through the link below, and then enter the Application Reference Number and the data subject’s date of birth.  If the information you provided matches with our records, the online payment webpage will be shown for making payment.
